Tips for the email communication with your guest

If you have just recently started hosting, it might be difficult to find the right words when addressing your guests in written form. We’ve got your back and have created some E-Mail templates for you to use! 

Please remember: Don’t answer the booking confirmation that you received from us, but you can use the spot chat feature (How can I reach my guest with spot chat feature?) or copy your guest’s email address into a new email draft in your mail program. 

Here is some email templates for you: 

1. Simple welcome mail

  Subject: Thank you for your booking!

Dear guest,
Thanks for your booking! We are looking forward to meeting you at our spot on dd.mm.yyyy.
Your check-in time is from xx:yy until xx:yy. Should you have any questions before your arrival,
you are welcome to contact me via roadsurfer chat, just in case you can also reach me by
the number-your phone number. Once you arrive, please ask for name of the contact person
and we will show you your pitch. Have a safe drive!

Best regards,
Your host your name

2. Include the directions to your spot

If your spot is not too easy to find or has no address, you can include the location description in your E-Mail. You can use the template from above, but include the following paragraph:

   As our spot is in a unique location in nature, I want to give you instructions for finding the spot so that you can enjoy your vacation from beginning to end.

(insert location description + coordinates here) 

3. Include check-in instructions

If you’re not present when your guests will arrive and you would like to allow them self-check-in, give them instructions for the check-in before their arrival. Use the template from above, but include the following paragraph:

  Dear guest,

Please note that I won’t be able to welcome you personally at the spot. This is why I want to give you instructions for the check-in:

(Insert check-in instructions) 

For example, include the code for the gate lock or the sanitary facilities, and share with your guests where to find what and what they are allowed to use).
